Position Summary

We are seeking a highly organized and detail-oriented Office Manager & Financial Administrator to oversee daily office operations, manage financial processes, and handle insurance policy administration. This role is ideal for a proactive professional who thrives in a dynamic environment and is skilled in both administrative management and financial reporting.

 

Key Responsibilities:

 

Office Management
 

  • Oversee day-to-day office operations to ensure a productive and efficient work environment.

  • Manage office supplies, equipment, vendor relationships, and facility needs.

  • Coordinate meetings, calendars, travel arrangements, and internal communications.

  • Maintain office policies, procedures, and documentation.

  • Support HR-related administrative tasks, including onboarding and employee records.
     

Financial Administration
 

  • Prepare and distribute accurate monthly financial statements and reports.

  • Monitor and reconcile accounts payable and receivable.

  • Assist with budgeting, forecasting, and financial analysis.

  • Maintain financial records and ensure compliance with internal controls and accounting standards.

  • Collaborate with external accountants or finance teams for audits and tax filings.
     

Insurance Policy Management
 

  • Maintain records of all company insurance policies (e.g., general liability, property, workers’ compensation, health).

  • Coordinate insurance renewals, ensuring timely submission of required documentation.

  • Liaise with insurance providers to manage claims, coverage updates, and policy changes.

  • Ensure compliance with insurance requirements and maintain up-to-date certificates.
     

Qualifications:
 

  • Associate or bachelor’s degree in business administration, accounting, finance, or a related field.

  • 5+ years of experience in office management and financial administration.

  • Working knowledge of accounting principles and financial reporting.

  • Proficiency in Microsoft Office Suite and accounting software.

  • Strong organizational, communication, and problem-solving skills.

  • Ability to manage multiple priorities and meet deadlines.

  • High level of discretion and professionalism in handling confidential information.
